  • The information included in your message
  • Any subsequent correspondence

Please do not include sensitive personal information unless it is necessary for your enquiry.

Technical and security information

Our website and service providers may process limited technical information needed to operate and protect the website. This can include:

  • Internet Protocol address
  • Browser and device information
  • Date and time of a request
  • Security and spam-verification results

How we use your information

We use personal information to:

  • Respond to enquiries

  • Provide customer or product support
  • Maintain the security and reliability of the website
  • Prevent spam, fraud and misuse
  • Meet legal, regulatory and accounting obligations
  • Establish, exercise or defend legal rights where necessary

Submitting an enquiry does not subscribe you to marketing communications. We will only send marketing communications where we have an appropriate lawful basis and, where required, your consent.

Our lawful bases

Depending on the circumstances, we process personal information because:

  • It is in our legitimate interests to respond to enquiries and operate a secure, effective business.
  • It is necessary to take steps at your request before entering into a contract.
  • It is necessary to perform a contract with you.
  • We must comply with a legal obligation.
  • You have given consent for a specific purpose.

Where we rely on legitimate interests, we consider whether those interests are proportionate and whether they affect your rights and freedoms.

Contact forms and email

The current configuration  of our contact form sends submissions to Qollca by email and does not intentionally retain a separate copy of the message on the website servers.

Emails are handled through Apple’s iCloud Mail service.

You should be aware that ordinary email is not always a completely secure communication method.

Spam protection

The contact form uses Cloudflare Turnstile to distinguish legitimate visitors from automated traffic.

Turnstile processes technical signals needed to perform this security function. Cloudflare states that Turnstile does not access or process the contents of the form itself. Its use is based on Qollca’s legitimate interest in protecting the website and its communication channels from abuse. Cloudflare Turnstile information

  • Website hosting and infrastructure providers
  • Apple, as Qollca’s email service provider
  • Cloudflare, for spam and security verification

  • It is needed to resolve a dispute or protect legal rights
  • A security incident requires further investigation

Technical and security records are retained according to operational need and the retention schedules of the relevant service providers.

If you object, Qollca will stop the relevant processing unless there are compelling legitimate grounds for continuing or the information is required for legal claims.
